Promapp Process Improvement Mapping Tool

Read about Promapp, a process mapping tool for continuous improvement at UC San Diego.

Log into Promapp (after completing training) to create simplified process maps with the users in mind.  UC San Diego is leveraging Promapp to capture current state processes campuswide.  Using this tool we can identify process improvement opportunities, increase process awareness, and support our staff. 

Benefits - How is this different from other tools?

  • With little or no experience, you can create effective and clear process maps. No more fumbling with boxes and diamonds.  You think and write in "bullets" and the tool makes the map! 
  • Easily include links, documents, images, and videos within each map.
  • Share maps with internal or external audiences and gather feedback.
  • Acronyms auto-generate descriptions for users.
  • Additional features are available for process improvement efforts.

Sharing maps

You are free to share your map openly in a much more integrated experience than your everyday PDF. The following video shows what visibility and access you can provide. Understanding "minimode" links (video)

Gaining access (bland text summary)

To view a summary of the steps in the "old-school" text format, you can view those below.

  1. Watch the UC San Diego Introduction to Promapp video.
  2. Watch Process Writing Techniques video.
  3. Register for a session in UCLC
  4. Attend an in-person or virtual training. 
  5. Create and edit maps for your area, and view published maps from across UC San Diego.

When is the next available training?

  • May 9 from 9:00 am - 12:00 pm
  • June 10 from 12:30pm - 3:30pm
  • July 1 from 12:30pm - 3:30pm
  • August TBD

Want to see it in action, get a little practice, or have a map built for you?

Join us for a working session! We use this time to create a map based on any of the participant's processes. No registration is necessary. Please email us if you have a process you would like built during the session.

How UC San Diego is leveraging Promapp

  • Enterprise System Renewal (ESR), Operational Strategic Initiatives (OSI), and Lean Bench are leveraging the tool to capture current state maps.
  • 1500+ maps have been created in the tool.  700+ maps are published and openly available for any UCSD staff to leverage.  Existing maps have reached 110,000+ views by staff and stakeholders.
  • Teams and individuals are being onboarded through training as part of our gradual rollout.
  • Partnership with several other UC's to share maps and best practices.

How to log in?

  1. Once you have completed the training you can access the tool by navigating to us.promapp.com/ucsd
  2. Enter your Active Directory login when prompted

Limitations – Promapp is not intended for:

  • Value Stream Transformation (VST) maps
  • Organizational Charts
  • Network Diagrams
  • System Diagrams
  • Conceptual Solution Diagrams
